Privacy Policy
Effective date: March 18, 2026.
This Privacy Policy describes how Pawsitivity Project (“we,” “us,” or “our”) collects, uses, and shares information when you use https://pawsitivityproject.org and related application services (the “Services”).
Information we collect
- Account information: name, email address, phone number, and authentication data when you create an applicant, clinic, or staff account.
- Application information: household composition, income information you choose to provide, and details about pets and veterinary needs.
- Uploads: documents and images you submit as part of an application (for example, pet photos or clinic W-9 forms).
- Clinic information: clinic registration details and documents submitted for onboarding.
- Contact form: name, email, subject, and message when you use our public contact form.
- Technical data: IP address, browser type, device information, and timestamps in server logs for security, auditing, and (if you consent) analytics.
Cookies and similar technologies
We use cookies and similar technologies as follows:
- Essential cookies: session cookies that keep you signed in to applicant, clinic, or staff areas and help protect the Services. These are necessary for the Services to function and do not require consent in many jurisdictions.
- Analytics: we may enable privacy-respecting analytics in the future. If we do, we will update this policy and our cookie banner before those tools collect data.
You can change your cookie choice by clearing site data in your browser and revisiting the site, or by using your browser’s cookie controls. Blocking essential cookies may prevent you from signing in.
How we use information
We use information to operate the Services, evaluate eligibility, communicate status updates, coordinate with approved veterinary clinics as permitted by your submissions, respond to contact messages, maintain security, comply with law, and document decisions through audit trails.
Sharing
We do not sell your personal information. We may share information with:
- Service providers that assist us (for example, website hosting, email delivery, or analytics if you consent), bound by confidentiality obligations.
- Approved veterinary clinics as needed to coordinate care and payment for approved cost lines tied to your application.
- Staff and volunteers who operate the assistance program and review applications.
- Slack or similar tools if you submit the public contact form and we have configured notifications to our team (message content is transmitted to our workspace).
Full application details are intended for staff review workflows unless we explicitly describe a different sharing mechanism as part of program operations.
Data retention
Consistent with program integrity and accountability, we retain records on a long-term / perpetual basis, including application decisions, audit logs, and uploaded materials, except where we are legally required to do otherwise.
Security
We use reasonable administrative and technical safeguards designed to protect information. No method of transmission or storage is completely secure.
Your choices
You may request reasonable access or updates where permitted by law. Because records support assistance decisions, deletion may not be available for records required to document program activity. You may decline non-essential cookies using our cookie banner.
Children’s privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. The updated policy will be posted on this page with a revised effective date.
